What to do after you obtain your preliminary IB Diploma results
If you have applied to a Dutch university (or hogeschool) or a UK university, you should write a letter to the institute in order to inform them about your preliminary IB diploma results, as soon as possible.
For the Netherlands
Be sure to cite in your letter your correspondentienummer (correspondence number), course code or course name. Don't forget to attach a certified copy of your preliminary examination results, which should be available to you from Monday, July 5 onward.
Be sure the letter is addressed to the appropriate faculty. Check the net for details. Example:
Erasmus Universiteit Rotterdam
Faculteit der Economische Wetenschappen (FEW)
Postbus 1738
3000 DR Rotterdam
For the UK
Be sure to cite in your letter your UCAS ID number, course code or course name. Attach a certified copy of your preliminary examination results, which you should print on a blank sheet of paper and bring it to school to have it authenticated by means of the school stamp and signature. If your results don't quite match the preconditions, then provide some analysis of your results, drawing attention to subjects where you have exceeded the conditions. If you are not successful at the end of this this, it is time to apply for Clearing.
But first, what if you exceed your conditions?
Each year some applicants pass their exams with better results then expected. And this may mean that some will have not only met the conditions of their firm choice but will have exceeded them. Applicants who have met and exceeded the conditions of their conditional firm (CF) choice will have the option to try to find an alternative place, while still holding their original confirmed offer. The process is called Adjustment. The option to register for Adjustment will be displayed to applicants once their place has been confirmed (status has changed from conditional firm (CF) to unconditional firm (UF).
CONDITIONS OF OFFER HAVE NOT BEEN MET. WHAT THEN?
Applicants who have failed to meet the conditions may be made a changed course or year offer, which is indicated on Track by the symbol UCC. They are not obliged to accept this. They will send them a Confirmation Change letter (AS12C) outlining the options available to them when all Confirmation decisions have been made, and they must then accept or decline the change. The options are also shown on Track, giving the
applicant the opportunity to respond to the change without waiting for the letter to arrive. Please note, applicants only have five calendar days to reply to a changed course offer.
ELECTRONIC CLEARING
Is intended for students who have not met their conditions of admission. From mid-July, if an applicant is eligible for Clearing an ‘Add Clearing choice’ button will appear on their Track ‘choices’ screen which they can use to apply for a course. Applicants do not need to contact us to request entry into Clearing.Applicants who have conditional firm (CF) and conditional insurance (CI) choices will not become eligible for Clearing until both the CF and CI institutions have confirmed that they will not offer places. Applicants often know informally that they have been unsuccessful before we receive the official decision. In such circumstances, they may ring institutions direct.
Universities and colleges will not be able to formalise agreements to consider or admit applicants until they know the applicant’s Clearing Number (shown on Track); and the applicant has entered the institution and course details on Track.Additional information available from the UCAS centre: http://www.ucas.ac.uk/students/nextsteps/clearing/
For the United States and other countries
Check your records and latest correspondence to see whether you are required to communicate preliminary results.
What options are open to students with respect to improving IB Grades?
1. Enquiry upon results (EUR) - you can ask that all the assessed components for a particular subject be remarked. A remark can only result in your grade going up or remaining the same. That is, they will not lower your grade if the remark reveals a result lower than the original grade given. The IBO charge approximately 80 Euros for this service and only the school may request it. If you want an EUR then you must contact the IB coordinator in person with the required amount of money.
2. You can apply to the school to re-sit IB exams, in May of the following year, in subjects where you want to improve your grade. In this case, you would have to re-sit all of your exam papers in a particular subject. Your internal assessment results, however, would be carried over. That is, you may not redo your Internal Assessment components. If your overall final result in a subject is lower in your re-sit, the IBO will keep the grade from the previous year.
3. You can apply to return to DP2. In this case you would be expected to enrol in all of your six subjects and to sit DP exams in all of the subjects as well. You would have the option of working with your teachers to improve your Internal Assessment work. You would be exempt from taking Theory of Knowledge.
Please note, many students assume that they can take re-sits in the November session. While there is an examination session in November, there are no known schools in the region - The Netherlands, Belgium, Western Germany - that offer this session. If you were to find one, you should enrol by the end of July. The difficulty here is that when the exam results are released most International Schools are already on vacation.
